This role is looking for a secretary with 3-5 years’ experience who can commit long term, as the role potentially could become permanent. The main role will be to provide secretarial support to 4 directors and work closely with the team secretary and provide support to the team as when needed.

We are looking for a highly organised and confident individual. The right candidate should be able to prioritise, communicate with confidence at all levels, have good initiative and work well both within a team and autonomously. Excellent Word, Excel, PowerPoint and Outlook skills are essential. In Design is an advantage.
 
The candidate will be the first point of contract for external visitors and therefore will need to represent the Directors and the company style.  They should be of smart appearance as well as outgoing and confident at dealing with a diverse range of people, maintaining a professional and friendly manner at all times.  They must be able to handle confidential information with discretion and sensitivity. The successful candidate will enjoy undertaking a varied workload and be adept at handling the demands of 4 directors.

The Role/Tasks:

Diary Management
Audio/Copy-typing
Minute Taking
Screening incoming calls (internal and external), dealing with enquiries and requests, taking accurate messages and/or handling them when appropriate
Email Management
Arranging complex travel - including flights, hotels and visas within the UK and Overseas.
Organising/co-ordinating business related events, initiative planning, and event planning
Assist with initial stages of marketing when required including Bid Proposals and PowerPoint presentations, carrying out background research and presenting findings
Typing of correspondence as directed (letters, memos, emails, etc)
Producing and updating spreadsheets, briefing papers, reports and presentations.
Organising meetings, both internal and external, ensuring the director is well prepared for the meetings/presentations
Assisting/covering for other secretaries when the need arises.
Booking of meeting rooms and catering
Advising staff/reception of visitor arrivals, meeting and greeting visitors at all levels of seniority, arranging working lunches
Completing and submitting timesheets and expenses claims for the directors
Ad Hoc duties
