This is a very exciting opportunity working as the receptionist for an international creative advertising agency.  You will be the face and heart of the agency, welcoming guests/clients and catering to their needs. This is the perfect role for a ‘people person’ – someone with energy, passion and true kindness who seeks to simply look after guests and colleagues. They are looking for someone to take pride in being the face of the company and take responsibility for this. There is also an opportunity to support the PAs in the company and develop their skills.

Key Responsibilities

  • Telephone Calls;

    • Responsible for answering the switchboard
    • Directing calls and screening calls, both internal and external
    • Booking appropriate rooms for conference calls

  • Greeting Guests and Clients;

    • Ensuring guests feel at home and are treated as VIPs

  • Managing Meeting Rooms and Catering;

    • Responsible for the schedule of the meeting rooms and take charge of its bookings
    • Responsible for setting up meeting rooms  

  • Ordering Taxis, Couriers and Travel;

    • Responsible for booking taxis for clients and staff, as well as national and international couriers for documents
    • Responsible for the travel of the agency. This includes booking flights, trains, hotels, private chauffeurs as well as documenting the traveller’s trip in an individual itinerary
    • You will need to process currency requests and cash for each traveller
    • All travel costs will need to be input on our in-house system – you will need to keep this up to date and accurate
