Our client, a small and effective charity, is looking for Administrator to join their small and sociable team. Their course is worthwhile and you feel you are making a difference.

 

  

 

ROLE AND RESPONSIBILITIES

 

1.      Office Management

  • updating and maintaining of office systems and computer network including weekly backup with assistance from external IT support agency
  • maintaining, updating the database
  • maintaining supplies of stationery, stamps and petty cash
  • ordering and maintaining office equipment and maintaining premises
  • taking and distributing of staff  meeting minutes
  • taking and distributing of trustees meeting minutes and progress reports
  • providing administrative support to Board of Trustees
  • booking meeting and training rooms
  • fetching, sorting and posting mail
  • completing and ensuring staff, trustees and volunteer DBS police checks are up-to-date (3 years)
  • answering the telephone, take messages and undertake other office duties, as required. General administration in support of the office and fundraising function
  • Data Protection officer
  • Fire Marshall.

2.      Programme Administration

  • taking volunteer enquiries
  • sending out volunteer application packs
  • inputing prospective volunteer information, processing volunteer reference requests and inputting outcomes on the database
  • preparing information and training packs for volunteer induction training and support group meetings. 
  • inputting information on families referred on database
  • designing and sending out the annual newsletter
  • collating information and helping deliver holiday hampers

3.      Finance

  • preparing invoices, processing cheques, managing petty cash and paying in cheques
  • filing annual report and accounts with Companies House and Charity Commission.

4.      Fundraising Support

  • putting together demographic reports of families and volunteers
  • preparing matrices to calculate average number of families supported 
  • assisting with completing funding applications and monitoring report

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRE

Essential:

      • proven administrative experience 
      • excellent communication skills, written and oral 
      • excellent word processing, spreadsheet and database skills
      • good team player 
      • excellent attention to detail

Desirable:

  • professional administration qualification 
  • Desktop Publishing experience 
  • experience of working within the voluntary sector
  • knowledge of issues relating to not-for-profit organisations 
  • knowledge of Salesforce.
