Operations Administrative Assistant

The Opportunity:

The role is very varied and will involve supporting the Operations team (COO/Finance/HR/Compliance/Legal) with administrative work to include, but not restricted to, below:

Chief Operating Officer

o Helping to compile data & draft presentations for weekly/monthly/quarterly update meetings


o Reconciliation of company credit card statements to receipts

o Processing of staff expenses in preparation for adding to payroll

o Managing company petty cash and preparation of summaries

o Maintenance of employee pensions and loans registers.

o Drafting procedures manual to cover accounting tasks

o Archiving of sales/purchase invoices when appropriate

o Processing of supplier invoices on Sage (Line 50)

o Creation of electronic payments to suppliers

o Creation of sales invoices in Sage and distribution to clients.

o Maintenance of Revenue Tracker


o Organising interviews and providing feedback to candidates

o Undertaking reference checking for new employees

o Ensuring employee database is kept updated with new employee details

o Providing accurate HR data as required to management

o Booking employee training and maintaining training log

o Scanning & filing HR documents

Compliance/Health and Safety/Legal

o Maintenance of various Compliance & Company Secretarial registers

o Assisting with yearly Compliance checks

o Maintaining various Compliance logs


o Assisting with desk assessments under supervision

o Scanning & filing Compliance/Legal documents

Key Skills:

h The ideal candidate will possess a very high attention to detail

h They will be a flexible and adaptable individual who works well in a team.

h Responsible, dependable self-starter with can-do attitude

h Excellent verbal and written communication

h Strong organisational and time management skills

h Excellent excel/powerpoint skills

h Previous experience working within a Finance role/using Sage useful

h A background working in a Financial organisation would be an advantage
