Administration Assistant role is working for a large International Company with beautiful offices based in London. This role is very varied and will need someone with 3/5 years’ experience. They are looking for an organised and confident individual. The right candidate should be able to prioritise, communicate at all levels, have good initiative and work well both within a team and autonomously. Good Word, Excel, PowerPoint and Outlook skills are essential.
The role will take on some HR duties, financial aspects, Office Management and any other general areas that need attention. It’s supporting a senior administer who needs the support on all areas.
Carrying out inductions for new and transferred staff
Co-ordination of appraisal system, coordinating programme and paperwork
Co-ordination of work experience/vacation student placements
Management of training records
Assistance with staff data for financial and other purposes
Providing assistance with preparation of draft fee invoices
Time sheet chasing, processing time transfers, costing queries and processing supplier invoices
Use of and manipulation of data in CRM (Client Relationship Management)
Accessing and distributing of information
Monitoring groups finances and liaising with the groups finance coordinator
Co-ordinating office moves, desk allocation and updating floor plans
Liaison with the facilities management on behalf of the teams
Liaison with IT Services and local systems management
Assistance with ensuring compliance with Health and Safety procedures
Providing assistance to other members of the Business Services team
Providing assistance with staff welfare, organisation of meetings and social events,
Be a focal point for staff requiring administrative information.
